Accessing eSpares
Remembering my login 
Ticking 'Remember me on this computer' on the login page will log you in automatically each time you return to the eSpares website. Clicking a link on an eSpares email will then take you directly to the page without logging in.
Going to the eSpares website will also take you directly to My eSpares, without having to log in.  
How do I retrieve my password? 
Click the 'Lost Password?' link on the login page. You will be given the opportunity to enter your email address, and your login details will be emailed to you immmediately. 
Can I choose any password? 
Yes. As long as it is at least 6 characters long, however we do recommend that you choose a password which you will remember and no-one else will guess.

Requesting Parts
Where can I locate my Chassis number? 
The location of the Chassis number is dependant on the make and model of your vehicle, but is often stamped on the firewall under the bonnet. For NZ new models the Chassis Number and VIN number shown on the Vehicle ID Plate is often the same.  
How do I attach an image? 
Look for Add Photos link under the 'Automated Search Options' section of the send request to page, or the 'Request Management Information' section of the Advanced Search Options page to upload a photo of the vehicle or part.
Clicking this link will open a new window to allow you to browse to select the photo you want to upload.
You can also add photos after a request has been sent by clicking the 'View/Add Photos' button in the Request Details screen. 
Is there a file size limit to attaching images? 
No. However the larger your file size, the longer it will take upload. eSpares automatically resizes large photos to a smaller size. 
Can I make changes to my enquiry? 
Yes. You can modify any vehicle details, apart from Make & Model information. Click "Modify my request" from the request details screen. You can also add more parts as any time. 
What is a Request ID? 
Every eSpares part request submitted has its own unique identification number called the Request ID. Please use this at all times when communicating with suppliers. 
Which Suppliers has my enquiry gone to? 
eSpares is the only part-finding network which informs you where your enquiry will be sent. These quality suppliers are specialists in the specific make or type of vehicle and are listed according to the manufacturer search you undertake.
When send a request, the advanced search options shows the number of suppliers in each area that your request will go to. You can click the area name (city name, region name etc.) to see a list of the suppliers that are included in that area. 
What success rate do eSpares users have in finding their parts? 
As our suppliers are specialist dismantlers and new part franchises there is a higher chance of finding a particular part. Over 90% of eSpares users find what they are looking. 
How do I create a part request? 
You must be registered and logged in create a request. Simply click 'New Request' on the eSpares toolbar.
Enter the registration number of your vehicle if available and follow the prompts.
The eSpares system is designed to be simple to use, but flexible enough to ensure the correct parts is located. 
How many requests can I make? 
As many as you wish. Once you have registered on the eSpares site, you can come back and request parts as often as you like. 
Select which franchise your request goes to 
You can choose which company, and optionally, which part representative receives your request, so you can maintain your existing business relationships. If the franchise automatically selected is not your preferred option, click the 'Advanced Search Options' link to select your franchise.
 
Choose how far your request goes 
When entering a request you can send it locally, to all suppliers in your region, in the island or nationwide. If suitable number of requests are not received your request can escalate automatically to more suppliers.
You can also select your default supplier options, so all future requests will automatically be sent to either your favourite suppliers, or those in your region, your island, or nationwide. To select your defaults look for the link in the 'Advanced Search Options' or in the Customise area of My eSpares.
 
Escalate your request to more suppliers 
If suitable replies are not received, you can manually escalate your request at any time to more suppliers, in your region, island or nationwide. Simply click the escalate button in the request details.
 
Add parts to your request at any time 
Requesters can add more parts to their request at any time. Simply click the Add More Parts button in the request detail screen.
Follow the usual part process. Suppliers who have replied will be able to update their quote with pricing for new parts. Other suppliers will be advised your request has additional parts.  
Select the minimum number of replies you want 
When creating a request you can select how many replies you want, and where your request should be sent. eSpares will automatically escalate your request until you get your required number of replies.
 
Get a part rep to visit to scope a job 
When placing a request, you can ask a franchise part rep to visit to scope a job. The rep will then visit and finish the request process by adding the parts themselves and quoting them online. Note that not all franchises offer this service.
To request a rep, click the 'Get a part rep' link in the send request to page.
You can then select the franchise and rep you want your request to go to.
 
How does eSpares manage my request? 
eSpares automatically manages your request to ensure you get suitable replies by escalating requests to more suppliers on a regular basis.
When your request is first sent, it is sent to the nearest franchise supplier to quote. If this franchise does not respond within 24 hours, it is escalated to all other franchises in your city, then your region, island and nationwide until you get a response.
Your request is also sent to secondhand suppliers in your city. If you do not receive the minimum number of secondhand replies (default is 3), your request will escalate every two hours to secondhand suppliers in your region, island and nationwide. If you do not get enough responses, or if you are unhappy with the responses received, you can also escalate the request yourself to the eSpares international suppliers.

The above options can be customised for each request before it is sent by selecting to change your automated search options.
You can also change your default supplier settings which will automatically select these options for all new requests. Simply look for the 'my default supplier options' link in My eSpares or the 'change my default supplier options' link in the advanced send options when sending a request.

You can also select your favourite franchises and secondhand suppliers, who will be automatically selected when your request is sent. Again look for links under the customise section of My eSpares.

Receiving Quotes
When can I expect to start receiving quotes? 
During normal office hours, suppliers should start responding to your request within minutes. However, it may take longer during busy periods to check availability and come back to you.
eSpares will automatically contact suppliers in your local area first by default. If your local suppliers cannot quote the parts you are after, eSpares will automatically escalate your request to your region, island and then nationwide.

You can also search our international suppliers if you are unable to source the part in New Zealand. 
What happens if eSpares suppliers cannot supply my part(s) 
If the suppliers your request was initially sent to cannot help with your request, eSpares will automatically escalate your request to additional suppliers and we will notify you by email.
If you do not get a reply from NZ based suppliers, or you are unhappy with the pricing provided, you have the option of escalating your request to our international suppliers.
As our suppliers part stock changes daily, you can also resend your request again with one click. Simply look for the 'Resend This Request' button in the Request Details screen. 
How do I access my quotes? 
As soon as a supplier responds to your enquiry, we will contact you via email with a link to view all quotes received. Recent quotes received are also listed in the My eSpares screen. Simply click the link to view the replies received. 
How will I receive quotes? 
You will also be emailed when a quote is received. The email will include a link to view all replies for your request.
All quotes can also be accessed by logging into the eSpares website. Recent replies are listed on the My eSpares page, or you can click the View Replies link on your request list.  
How quickly can I expect receive quotes? 
Typically most suppliers respond between within a few hours, often within minutes. However suppliers may only respond between their working hours. 
What if you do not find my spares first time? 
If this happens we will send you a email advising our suppliers are unable to assist.
You will also have the option to escalate to our international suppliers by following a link on this email.
As stock intake changes daily suppliers may have the part you require at a later date. Therefore please resubmit your enquiry at another time. 
How do I request further information about a quote? 
To receive further information on a quote please contact the supplier via the eSpares Q & A system, by clicking the 'Contact This Supplier' link in the View
Replies screen.

Replying to Requests
Add your company profile for requesters 
You can enter a company profile with details about your business, such as history, ownership and business philosophy. This profile will be available to requesters to help them decide who they should buy from, and can include terms of sale and warranty information. Click the company profile link in My eSpares, or look for the links under 'My Options' or 'Quote Request' pages.
 
Send multiple quote options for an single request 
You can now send multiple quotes for a single request. For example you can quote a new and a secondhand price. When entering your first reply, simply tick the 'Send another reply to this request' and you will be able to quote again.
To add a subsequent quote after one has been sent, go to the My Reply screen and click the 'Send Another Reply' button.
 
You can fit parts you sell to Public users 
A public requester has the option of requesting a fitting cost for parts you sell to public users. If you wish to provide this service, look for the "My Part Fit Options" link in my eSpares, then simply tick the I will fit the parts I sell box in the fitting options. You can also select to fit others suppliers parts also. 
Enter your Terms of Trade 
Your terms of trade will be available to requesters when they are ordering parts. This allows the requester to view your payment terms and requirements before ordering, and will help protect you from bad payers.

Simply look for the 'My Terms of Sale' link in the Customise section of my eSpares.

Orders and Payments
How do I pay? 
Payment is made directly to the supplier. You can select your preferred payment method at the time of ordering your parts.  
Can I order online? 
All orders must be placed online. Once the order has been placed the supplier can contact you to arrange payment and shipping. 
Update orders made over the phone, or by email. 
You can enter online orders made over the phone by requesters, or via email. Simply go to your reply and tick the order offline box, and tick the 'Ordered Offline' button.
You will be shown a confirmation screen, and an eSpares purchase order will be generated and emailed to both yourself and the requester, noted as confirmation of an order placed offline.

Collections and Delivery
Can I collect my parts? 
Yes. You have the option of selecting collection when the order is placed. 
How quickly are parts delivered? 
Generally most deliveries can be made overnight, however this may depend on the payment method chosen.
Payments may need to clear before parts can be shipped. 
Get your parts fitted by an eSpares repairer 
You can indicate that you would like your parts fitted. eSpares has suppliers, mechanics, panelbeaters, and other trades available to fit your parts. Simply tick the 'I want my parts fitted' box when ordering.
Local suppliers can quote a fitting component when quoting the parts. If you order parts without a fitting component, you will be shown a list of local repairers who will able to fit the parts for you. 
Suppliers may also fit your parts for you 
If you prefer your parts fitted, tick the 'I want my part fitted' box when sending your request. Local supplier can then quote a price to fit the part when they quote the part.

Established in 2005 eSpares is an independent provider of online services, which puts people and businesses who need parts, in touch with suppliers who can provide them.

Our Supplier Network
How do I apply to be an eSpares supplier? 
Simply register online with eSpares and place a tick in the 'I also sell parts' box.
You will immediately be registered as a trade requester and eSpares will consider your application to become a supplier.
We will advise you within 5 working days whether your application is successful. 
How many part suppliers does eSpares have? 
Currently there are around 250 suppliers nationwide connected to eSpares. This quantity varies with time. The eSpares supplier network consists of franchises, part importers and dismantlers.
We also have suppliers outside New Zealand who can search international markets if the parts are not available locally. 
What guarantees do they offer? 
The warranty can vary between supplier and can depend on part type. If not noted in the quote you can ask the supplier via the Q & A system, or check their company profile for standard warranty terms.  
Who are eSpares suppliers? 
All our suppliers are specialists and are individually selected to be part of the eSpares supplier network, and include franchise, part importers and dismantlers. Over 80% of our specialist suppliers have been linked with us since eSpares was established in 2005. 
Where are your suppliers based? 
All around New Zealand! Chances are some will be local to you.
We also have suppliers outside New Zealand who are able to search international markets for parts required if they are not available in New Zealand 
Choose your favourite franchise for each brand 
You can choose which company, and optionally, which part representative receives your requests for each vehicle brand.
This will set the default so you don't have to select it for each request. Simply look for the 'My Franchises' link in the customise area on My eSpares.
All future requests for that vehicle brand will automatically be sent to your favourite franchise.
 
Choose your supplier group 
All suppliers can identify themselves as part of a supplier group, such as Partsworld or Parts Connection. This group will show with your company profile, if entered, and is shown to trade requesters when they are selecting their favourite suppliers.
To update your supplier group, look for the "My supplier group" link in My eSpares, and select the group from the dropdown. If your group is not listed, use the link to ask eSpares to add your group to their database. 
Receive notifications by text message 
All suppliers have the option of receiving notifications by text message (SMS) to their mobile phone, as well as, or instead of, email.
Notifications you can receive via text message are New Requests, New Orders, and for franchises that offer a part rep service, New Part Rep Requests.
To enable text messaging, look for the "My TXT Options" link and place a tick next the notifications you wish to receive. Note that charges apply for text messaging, and this will be charged on your monthly account.

FAQs
Why do you require the Year and Rego of my vehicle? 
Manufacturers regularly change their model ranges, "face-lifting" the same vehicle once or more per year. To help our suppliers to quote accurately, it is vital that the vehicle details you supply are correct.  
Why do you need my telephone number? 
Your phone number is included on your parts order to allow the supplier to contact you for any further information before shipping the parts. Your phone number is not available to suppliers before ordering.  
Do you pass on my personal details to anyone else? 
No. Your name and location is visible to our supplier network when you request is placed. Address and contact details are provided to successful suppliers on an order. We do not pass on ANY information to third party organisations without your consent. 
Will I receive junk mail to my property? 
No. eSpares will never send junk mail to you. 
How does the eSpares system work? 
We do not sell parts ourselves but we do provide a fast online quotes system through which you can submit an enquiry, receiving quotes soon after from our registered suppliers.
Simply enter the registration number of the vehicle you require parts for to download the vehicle details from the LTSA database, and select the parts you need. Suppliers who have the parts in stock will quote online.
After comparing the quotes the next stage is ordering and paying, and then finally receiving your parts from the supplier, often the following day.

How much does this service cost? 
Nothing. It is always free to request parts using the eSpares system.  
Can you fit my part? 
We do not fit parts ourselves but please ask the supplier from whom you have purchased your part if they provide this service. You can also get a list of Repairers who may be able to fit you parts by using the 'Find a repairer' link in My eSpares. 
Will I receive junk mail? 
No. eSpares will never send you junk mail.

Where do I find part information
Where do I find the trans code? 
The trans code or Transmission Code is often on the ID or VIN plate under the bonnet of the vehicle 
How do I know if my mirror is 3/5/7 wire? 
The number describes how many electrical wires are used to control movement of the mirror 
Are my seatbelts pretensioner type? 
Most models with airbags are pretensioner type. To be sure you can remove the centre pillar trim and look for a pressure canister attached to the seatbelt mechanism.
 
How many wheel studs? 
When requesting wheels, include the number of wheel studs (count the wheel nuts) to ensure that supplier can quote one that fits
 
3 Door or 5 Door? 
Many panels and other parts differ for a 3 door or 5 door vehicle, so it is important that the supplier knows which it is. If it is not detailed in the LTSA model description please add it into the notes. 
What is the lens colour? 
Indicators sometimes have clear lenses and coloured bulbs, so tell the supplier if the indicator is clear, orange, yellow etc.
 
Where do I find the lens number? 
The lens number is usually moulded into the lens, and includes the manufacturers name as well as a number, e.g. Kiato 123456

The Parts
Do you supply both new and used parts? 
Yes. Suppliers will indicate if the part they are quoting is new or used by using our part source codes (GEN- Genuine New, OEM, - Original Equipment, TAI - Replica, SH - Secondhand). You can also indicate to suppliers what of these parts source you would prefer when you send your request. 
What range of parts do you supply? 
Absolutely everything, from the smallest part to entire body panels and cuts. To check if our suppliers have what you need for your car/van/4x4/truck simply submit a part request.  
What condition will the parts be in? 
Every part supplied by an eSpares supplier will be of a merchantable quality. You can ask the supplier for a photo of the part prior to ordering, and query their warranty details. 
Am I obliged to purchase if I make an enquiry? 
No, absolutely not. If you use this service you are not obliged to purchase anything. Feel free to make as many enquiries as you want. However, as eSpares earns its income from commission at the time an order is placed, it is very important that ,if you are ordering from an eSpares supplier, the transaction is completed online.

Customising eSpares
Include Capricorn information with your request 
Members of the Capricorn Society can be identified to Capricorn suppliers, or Capricorn suppliers can be identified to Capricorn members by updating their Capricorn details. When ordering from a Capricorn supplier, Capricorn members have an additional payment method of "Charge my Capricorn account".
To update your Capricorn details, look for the "My Capricorn Options" link in My eSpares.
Place a tick in the "I am a Capricorn Member or Supplier:" box, and optionally enter your Capricorn account number.  
Choose your favourite franchise for each brand 
You can choose which company, and optionally, which part representative receives your requests for each vehicle brand. This will set the default so you don't have to select it for each request. Simply look for the 'My Franchises' link in the Customise area of My eSpares.
From the 'Choose my favourite franchise' page, simply click the vehicle brand you wish to choose your favourite for. This will show a selection form to select the business and staff member (optional) for both desktop and part rep requests. Submit this form and the page will update. Future requests for that brand will go to the selected franchise automatically. 
Add your standard warranty details 
You can add your standard warranty details which will show to the requester when they review quotes to allow them to make an informed decision.
Simply look for the 'My Warranty Terms' link in the Customise section of my eSpares.
You can also enter your company profile and terms of trade here. 
Fit parts for public users 
You can be listed as a repairer to fit parts a public user has ordered through eSpares. A public user can request a list of local repairers that can fit their parts. To be listed simply tick "I will fit parts supplier by others" after following the "My Part Fit Options" link in My eSpares. 
Choose your favourite suppliers 
All trade users and suppliers can select their own favourite suppliers that their request will be sent to first.
To select your favourite suppliers, look for the 'My Favourites' link in the Customise are of My eSpares.
Once you are at the 'Select my favourite suppliers' screen simply place a tick next to your favourite suppliers (or remove the tick to take them off your favourites list).
Once all your favourite suppliers are selected, scroll to the bottom of the screen and click 'Update Favourite Supplier List'. You an also use the filter options to make it easier to locate your favourite suppliers. Once you have selected your favourite suppliers, future requests will go to them first.  
My Default supplier options 
All trade users can select their own supplier options to change the automatically selected suppliers your request is sent to.
You can select whether or not your request is sent to franchises, and which secondhand suppliers you want your request to go to, i.e. My favourites, or those located in my city, my region, my island or nationwide.
To change your default supplier options simply look for the 'My Default Supplier Options' link in My eSpares, or the link in the Advanced search options when sending a request. 
Select your request email options 
You can select your preferred email options, such as whether to receive an email when your request escalates, or whether to be notified of replies at the time or when your request expires.
Look for the email options link in My eSpares to take you to the options screen. Remove the tick in the "Email me when my request escalates:" box to stop receiving these emails, and select when you want to be notified of replies.  
Update your industry memberships 
If you are a member of an automotive industry body such as MTA, you can identify yourself as a member to other users. Memberships are shown in your company profile, if entered, and may be used for internal eSpares notifications, such as Special offers or deals that my be available to you.
To select your memberships, look for the 'My Memberships' link in My eSpares. 
Select what request emails you want to receive 
All suppliers have the option of selecting what request emails they want to receive, if any.
Click the "My Email Options" link in My eSpares then select your preferred options. You can opt to recieve an email for each request, or you can opt to turn them off.

More email options will be available in the future.  
Provide info about your business 
All eSpares trade users can select the industry segments they work in, such as Mechanical, Panel, Auto electical etc. This is used when public users use the eSpares website to search for a repairer, or to fit the parts they have purchased.
Simply look for the 'About my business' link in My eSpares and select the options that apply.  
My Part fit options  
A public user has the option of requesting a fitting cost for parts you sell to public users. If you wish to provide this service, look for the "My Part Fit Options" link in my eSpares, then simply tick the I will fit the parts I sell box in the fitting options. You can also select to fit others suppliers parts also.
